IMS Pro PocketPC Handheld Functions =================================== The handheld is designed to use the barcodes that are automatically generated by the IMS Pro PC application. These are generated during the Receipt and Production functions. Barcode labels will have to be attached to the parts prior to attempting to use the handheld. ********************* * Inventory Count * ********************* Setup count groups in the IMS Pro PC application. 1) Select the Inventory Counts menu item. 2) Select Group Administration menu. Cycle Count: ************ Parts can be grouped together in any manner to perform cycle counts. Typically, it is better to group parts together that are in the same Location. Parts can be selected one at a time by clicking on them with the mouse, or hold down the Shift or Ctrl key on the keyboard and click on the parts to include in the group. Click the "Add" button to add them to the group. When you have selected all of the desired parts, enter a group name in the "Group Name" box and click the "Save" button. You can create as many groups as desired. After the group has been saved, you must load it into the temporary count table. Select the desired group from the "Group Name" drop-down list. Then click the "Load Count Table" button. Several cycle count groups can be loaded into the temporary table at the same time. However, only ONE group can be loaded onto the handheld at a time. Close the Group Administration screen. Click the Inventory Counts menu and select Cycle Count. On the Cycle Count screen, select a group from the "Group Name" drop-down list. All of the inventory for the selected parts in the group will be displayed in the grid. Connect your handheld to your PC. Click the "Load Ref File" button to transfer the inventory list to the handheld. Only ONE group can be loaded onto the handheld at a time. If you have more than one handheld, you can load a different group onto each handheld. Handheld Application: --------------------- On the handheld, select the "Count" button. The Count Inventory screen will appear with the Group name at the top. Scan or enter the Location. The Location must exactly match the location that is shown in the IMS Pro PC application, otherwise a message will appear to indicate that the location was not found. Scan the part barcode. If the barcode and location matches a record in the reference file, the Qty textbox will be highlighted. Enter the quantity counted and press the Enter key. The quantity will be recorded and the screen will be set to scan the next barcode. Only parts that match the Location and Barcode in the group reference file will be accepted by the handheld. When the count is complete, connect the handheld to the PC. Open the Cycle Count screen in the PC application and click the "Import Data" button. Physical Count ************** Physical count counts everything in inventory. 1) Select the Inventory Counts menu item. 2) Select Group Administration menu. Select the "Physical" option in the "Count Type to Perform" box. The Group Name will default to PHYSCNT and all of the parts in IMS will appear in the grid. Click the "Load Count Table" to load the physical count group into the temporarty count table. Close the Group Administration screen. Click the Inventory Counts menu and select Physical Count. All of the parts in inventory will be listed. Connect your handheld to your PC. Click the "Load Ref File" button to transfer the inventory list to the handheld. Handheld Application: --------------------- On the handheld, select the "Count" button. The Count Inventory screen will appear with the Group name at the top. Scan or enter the Location. The Location must exactly match the location that is shown in the IMS Pro PC application, otherwise a message will appear to indicate that the location was not found. Scan the part barcode. If the barcode and location matches a record in the reference file, the Qty textbox will be highlighted. Enter the quantity counted and press the Enter key. The quantity will be recorded and the screen will be set to scan the next barcode. Only parts that match the Location and Barcode in the group reference file will be accepted by the handheld. Open the Physical Count screen in the PC application and click the "Import Data" button. **************** * Ship Order * **************** The "Ship Order" function requires a reference file of open Sales Orders from the IMS Pro PC application. ================= !!! IMPORTANT !!! ================= Ship items MUST be transferred to a Ship Location before loading the reference file onto the handheld. Click the "Shipping" button to open the Shipping screen. Click the "HH App" button to open the "Shipment Download" screen. Connect your handheld to your PC. Click the "Sync Data" button to load open Sales Orders onto the handheld. Handheld Application: --------------------- On the handheld, select the "Ship Order" button. On the Ship Order screen, select the person that is shipping the order from the drop-down list. Select the Sales Order that is being shipped from the drop-down list. Click the "Pick Parts" button. The screen will show a list of parts and descriptions to be shipped for the selected Sales Order. Highlight the Barcode box and scan a part barcode. If the barcode matches a part that is on the sales order, a drop-down list will show the ship locations the part is located in, along with the quantity at each location. Select a location and press the Enter key. The Qty box will be highlighted. The Ordered Qty, Shipped Qty, and Needed Qty will be shown to the right of the Qty textbox. Enter the Qty being shipped and press the Enter key. If the entered quantity matches the ordered quantity, the part will be removed from the list at the top of the screen. If more than one location is needed to obtain the ordered quantity, scan the barcode again and select another location. Enter the quantity being shipped from that location and press the Enter key. If there is not enough in inventory to meet the order quantity, just go on to the next part. When you are finished, go back to the Main screen and connect the handheld to the PC. Open the "Ship Download" screen and click the "Sync Data" button. The scanned data will be downloaded to the PC application and a new reference file of open Sales Orders, if any, will be uploaded to the handheld. The new reference file will not include the data that was just downloaded. To complete the shipment on the PC application, check the checkboxes of the items that you want to ship and click the "Create New Shipment" button. Close the Ship Download screen to return to the Shipping screen.
