There are a variety of ways to track fixed assets, or to track assets of any kind, but the most efficient method is to use barcode labels, or, in some circumstances, RFID tags. With these ID labels, it’s a very simple, practical process to tag and read an items asset ID.
Software for barcode asset tracking, is not by any means new technology. So, from this standpoint, it’s a tried and true, labor efficient method by which institutions can track their fixed assets. There are just a few serious considerations (aren’t there always) to ruminate about before putting a barcode process into play:
• You need a Quarterback - Any good team needs someone to run with the ball. Every person on the team is responsible to do their part to make sure the quarterback makes it down the field, but that one person still calls the plays. Okay, enough with the sports analogy – but, hopefully the picture is vivid. Someone has to understand the barcode process - the barcode software, the barcode hardware, and inventory control management.
• Responsibility - each member of the team is responsible for their uniform, from the cleated shoes, to the helmet to the mouthgards. It’s a simple principal to understand – if it’s assigned to you, and you’re accountable for it, you’ll know where it is, what it is, and what kind of condition it is in. A good barcode software solution let’s assets be assigned to individual users, or users as a group.
• Don’t play on substandard Astroturf - It makes no sense to put together a crack team (especially, given what sports players make) if the field they play on may cause them injury or not make the most of their abilities. Invest in a quality Barcode Software Solution and creditable barcode hardware. Both will save time and money in the long run!
• Get a good grasp on the situation - Match the barcode ID method to the asset to be barcoded. You can’t put a paper barcode label on jersey that’s going to wind up in how water. Maybe an iron-on barcode label is better. A football might need an embedded RFID chip. Barcode dots… perhaps on the end of a baseball bat (no, scratch that, there are no bats in football, and no crying in baseball either).
But, you get the picture, the options for ID labeling are many, and if you can’t label it, you can probably label a bin or a kit for it.
• Track the plays - A good coach is going to assess each game, play by play and tell you who did what right, who did what wrong, and who needs an attitude adjustment. A good asset tracking software solution will provide all the specifics needed to document, track and main its asset members. From information on the assets, to information on the users, asset usage, asset condition, asset cost basis, asset history – all of this information should be available quickly to distribute at a moment’s notice. Think of it as instant replay…accountability on demand – for the fans, the refs, the players, and the owners!
